This Privacy Policy explains what personal data HouseReel collects, why we collect it, how long we keep it, and what rights you have. We process personal data in accordance with the General Data Protection Regulation (GDPR). Questions? Reach us via our contact form.
1. Who we are
HouseReel is an online platform that lets real estate agents create property videos from photos, listing details, AI-generated voice-overs and music. HouseReel is operated from the Netherlands. For contact details, see the Contact section below.
2. What data we collect
We collect the following categories of data:
- Account data — your name, e-mail address and profile details, provided when you sign up or sign in.
- Billing data — company name, billing address and payment details needed to process your subscription. Payment card details are handled by our payment provider and never stored on our servers.
- Content you upload — property photos, listing texts, logos and other files you add to a project. These may incidentally contain personal data (for example, a person visible in a photo).
- Generated content — the videos, voice-overs and scripts produced from your input.
- Usage data — how you use the platform: pages visited, features used, actions in the editor, device and browser information, and approximate location derived from your IP address.
- Communication — messages you send us via the contact form or support channels.
3. Why we process your data
We process personal data for the following purposes:
- providing the service: creating and managing your account, rendering and storing your videos;
- billing and administration of your subscription;
- improving the product: analysing anonymised or pseudonymised usage patterns to understand which features work;
- support: responding to your questions and resolving issues;
- security: detecting and preventing misuse, fraud and unauthorised access;
- legal obligations: retaining records where tax or other laws require it.
We do not sell your personal data, and we do not use your content to advertise to third parties.
4. Legal bases
We rely on the following legal bases under the GDPR: performance of a contract (providing the service you signed up for), legitimate interest (product analytics, security and fraud prevention), legal obligation (financial record-keeping), and consent where required (for example, for non-essential cookies).
5. Sub-processors and third parties
We use a small number of carefully selected service providers to run HouseReel. They process data only on our instructions and under data processing agreements. The main categories are:
- Authentication — managing sign-up, sign-in and account security.
- Hosting and database — storing your projects, media and rendered videos, and serving the application.
- Background processing — running video rendering and other jobs.
- AI services — generating voice-overs, scripts and video segments from the content you provide (see AI processing).
- Analytics — measuring product usage and errors.
- Payments — processing subscription payments.

6. AI processing
To generate voice-overs, scripts and video effects, the content you provide (photos, listing texts) is sent to AI service providers. This content is used solely to produce your output. We contractually require our AI providers not to use your content to train their models. Do not upload content containing sensitive personal data (for example, medical or financial documents visible in photos); the platform does not need it and it is not part of the intended use.
7. Cookies and analytics
HouseReel uses functional cookies that are necessary for the platform to work (for example, keeping you signed in). We also use analytics to understand how the product is used and to detect errors. Analytics data is pseudonymised where possible. We do not use third-party advertising cookies.
8. Retention periods
- Account data — retained for as long as your account exists, and deleted within 90 days after account deletion.
- Projects and rendered videos — retained while your subscription is active; after termination they remain downloadable for 90 days and are then permanently deleted.
- Billing records — retained for 7 years, as required by Dutch tax law.
- Usage data — retained in identifiable form for at most 24 months, after which it is deleted or anonymised.
- Support communication — retained for at most 24 months after the case is closed.
9. Security
We take appropriate technical and organisational measures to protect your data, including encryption in transit and at rest, access controls on a need-to-know basis, isolated environments for development and production, and logging of administrative access. No system is perfectly secure; if a data breach occurs that is likely to result in a risk to your rights, we will notify you and the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) as required by law.
10. International transfers
Your data is stored within the European Union where possible. Some of our service providers (for example, AI services) may process data in the United States or other countries outside the European Economic Area. Where that happens, transfers are safeguarded by adequacy decisions (such as the EU–US Data Privacy Framework) or EU Standard Contractual Clauses.
11. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- rectify inaccurate or incomplete data;
- erase your data ("right to be forgotten");
- restrict or object to processing;
- receive your data in a portable format;
- withdraw consent at any time, where processing is based on consent.
You can exercise these rights via your account settings or via our contact form. We respond within one month. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
12. Controller and processor roles
For account, billing and usage data, HouseReel is the controller. For the content you upload — such as property photos in which individuals may be identifiable — you are the controller and HouseReel acts as processor: we process that content only to provide the service. You are responsible for having a legal basis for the content you upload (for example, consent from identifiable persons). We will enter into a data processing agreement upon request.
13. Changes to this policy
We may update this Privacy Policy from time to time, for example when we add features or change providers. In case of material changes we will inform you in advance by e-mail or in-app. The most recent version is always available on this page.
